Position Summary:
The purpose of this role is to maintain the multi-company switchboard and greet various parties as they enter the office.
Essential Responsibilities:
Manages multi-company switchboard, routing calls as appropriate;
Receives incoming courier packages and prepare outgoing packages;
Receives and distribute fax correspondence;
Processes daily outgoing mail using postage machine and retrieves incoming mail from post office including opening, stamping and sorting;
Warmly greets all visitors; informs the appropriate staff of their arrival;
Performs check in process for all Health and Wellness participants, which includes the handling of cash receipts and database entry;
Keeps mailroom/kitchen tidy including loading and unloading coffee area dishwasher and making sure coffee is fresh for employees and guests;
Opens and closes reception, responsible for locking doors at the end of the day.
Qualifications/Requirements:
HS Diploma or equivalent and a minimum of 3 years’ experience in a similar position.
Highly effective organizational skills, strong written and oral communication skills to include the ability to interact positively with staff, callers and guests.
- Demonstrated ability to handle a variety of duties simultaneously
- Strong attention to detail, ability to prioritize and excellent problem-solving skills
- Ability to work independently, as well as collaboratively in a deadline-driven environment
- Ability to demonstrate discretion, a positive attitude and excellent customer service skills;
- Proficient in Microsoft Office Suite;
- Ability to work non-traditional office hours
Work Hours:
Monday – Thursday – 5:30 p.m. – 9 p.m.
Friday - 3:30p.m. – 9 p.m.
Saturday – 8 a.m. – 3 p.m.
