[YEP-DC] Academic Research and Program Assistant Opening at AACP

The American Association of Colleges of Pharmacy is looking for an Academic Research and Program Assistant.  The job description and directions on how to apply are listed below:


Position Title:
  Academic Research and Program Assistant
Department: Academic Affairs

Position Description Summary
The Academic Research and Program Assistant primarily provides administrative support to the Associate Director of Academic Programs and Associate Director of Institutional Research and Effectiveness, and also assists other staff members within Academic Affairs as needed. Research duties range from survey distribution and maintenance to assisting with the preparation of publications. The assistant will regularly communicate with staff, association members, and external business partners.

Essential Functions
Institutional Research (40%)

•Facilitating notifications regarding surveys and the availability of survey results and data reports
•Posting announcements or documents to the association’s web site relating to Institutional Research
•Maintaining contact information in the centralized survey system
•Responding to questions regarding surveys and data reports
•Downloading and archiving institutional data reports from the AACP survey system
•Reviewing and cleaning survey data and follow up with institutions that have incomplete data for surveys
•Assisting with preparation of publications relating to Institutional Research (editing, content formatting)
•Assisting in various ad hoc requests for information relating to Institutional Research

Assessment & Accreditation Management System (AAMS) (30%)

•Provide technical support, responding to member inquires and questions
•Logging support requests, contacting vendor if needed
•Creating Site Manager accounts
•Creating accounts in the test system for training attendees
•Preparing training materials for attendees

Academic Leadership Fellows Program (ALFP) (15%)

•Collecting and cataloging application materials, payments, bios, and photos
•Requesting and receiving speakers’ presentation materials, abstracts, advocacy reports, summative evaluations, travel itineraries, and expense reports
•Ordering award materials; clocks, mugs, etc.
•Preparing Session handouts
•Sending acceptance/rejection letters, logistics updates, Sessions-at-a-Glance documents, etc.

Education Scholar (10%)

•Emailing 90-day and 30-day expiration reminders to schools and individuals,
•Invoicing subscribers
•Assisting Program Manager with reconciling wholesale invoice

Other duties as required (5%)


•Receiving award/competition submissions, and acknowledging receipt
•Scheduling conference calls for reviewers
•Sending letters announcing results
•Providing occasional general administrative staff support
•Potential travel, one to two times per year

Qualifications for this Position

•Minimum BA/BS degree
•Experience using a database system
•Aptitude for numbers and ability to manipulate data with accuracy and precision
•Excellent organizational skills with the ability to prioritize work to meet deadlines
•Strong written and oral communication skills
•Exceptional customer service skills
•Strong attention to detail
•Proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
•Familiarity with web-based software applications
•Ability to be flexible and work creatively as part of a team or individually
•One to two years experience in general administrative assistance
