[YEP-DC] Washington Latin Job Opportunity: Administrative Assistant for College Counseling

School Overview

The Washington Latin Public Charter School provides a challenging, classical education that is accessible to students throughout the District of Columbia.  Washington Latin is located in northwest D.C., serving students in grades 5-12. 

 

We currently seek someone to fill the position of Administrative Assistant in the College Counseling Office.

 

Qualifications

  • Represent Washington Latin to a diverse constituent group, including students, parents, college representatives, and others
  • Experience and/or interest in secondary and higher education; previous experience in college counseling or college admissions preferable
  • Ability to work in a fast-paced environment and focus in an open work area
  • Experience and/or willingness to learn Naviance and PowerSchool
  • Ability to work closely with students and families in a confidential manner

 

Roles and Responsibilities of the Position

  • Answer phone, check voice mail, and return calls when appropriate
  • Prepare materials for college admissions visits in the autumn and spring
  • Schedule and maintain calendar for college admissions visits
  • Maintain College Counseling Office to host visitors
  • Post weekly calendars of visits for students to review; ensure list of visits is included in the Daily Bulletin
  • Coordinate arrangements and logistics for evening programs; send out notices and reminders for such programs
  • Coordinate arrangements and logistics for college fair trips; send out notices and reminders for such events
  • Assist in planning the spring break college tour
  • Assist in creating and maintaining student files, including filing standardized testing information and other pertinent documents
  • Update Naviance with standardized testing and other student and family information
  • Collect and file signed, original copies of each teacher’s recommendations for each student
  • Prepare and facilitate the timely receipt of transcripts, recommendations, and other application materials for students to colleges, universities, and scholarship programs
  • Assist the Director of College Counseling with special projects and tasks as assigned
  • Collect and sort mail
  • Help to maintain the College Counseling portion of the Washington Latin website
  • Maintain the College Counseling bulletin board

 

The ideal candidate will:

  • Be professional in demeanor and presentation, both in person and over the phone and e-mail.
  • Be a self-directed, focused trouble shooter and creative problem solver, requiring minimal supervision; quickly learn whom to call for what; be assertive, expedient, efficient, and resourceful in making office processes and communication effective.
  • Be patient, self-assured, friendly, and poised.
  • Be able to anticipate potential concerns or issues that may arise at any point.
  • Be extraordinarily detail-oriented and well organized, making accuracy and efficiency absolute priorities.
  • Be completely confidential at all times concerning all student and family matters and issues.  Be sure to keep confidential documents secure and unavailable to observers in the office.
  • Be able to answer questions of a general nature, which may require simple fact finding and troubleshooting.
  • Approach the job with a professional ethic, preferring to do the job as effectively as possible; within reason, occasional work demands will require compromises on lunch time and end-of-day departure.
  • Possess a sense of humor and ability to look past the hectic and unpredictable nature of busy school days and see the broader perspective and purpose in our work.
  • Be able to compose correspondence confidently, efficiently, and without error.  Be willing to handle routine, tedious tasks and operations with complete accuracy.
  • Be able to handle multiple, tasks simultaneously with composure and professionalism, often conducting important office business amid ringing phones and heavy office flow.
  • Think beyond the scope of essential roles and responsibilities of the position, continually seeking ways to improve operations and functioning.
