Compliance Coordinator, Operations. The Operations & Compliance Coordinator plays a critical role in ensuring that the Chavez Schools maintain compliance with numerous external regulations, especially as it pertains to the school lunch program, academic records, and student enrollment. 

Key Accountabilities:

  • Monitoring to ensure that all deadlines related to operational compliance functions, both internal and external, are met.   Developing clearly communicated policies and procedures to support regulatory compliance.  Overseeing the system Operations Calendar. 
  • Serving as the system's expert for the National School Lunch Program:  supervising program implementation, managing our meal-tracking software, managing vendor relationship, completing required documentation (i.e. IFB, application) and reports (i.e. monthly reimbursement claims),  conducting audits to ensure compliance with all applicable regulations, reconciling orders with consumption to reduce waste, and maintaining appropriate records as required by various regulatory authorities.
  • Managing the student enrollment process to include maintaining an up-to-date database, providing technical assistance to campuses, safeguarding open enrollment policies across the system, providing regular data, troubleshooting, facilitating the enrollment audit and appeal process, and collaborating with the Marketing Manager around recruitment efforts, family communication, and driving conversion of applicants to enrollees.
  • Supporting the development and monitoring of academic policies to include:  developing and monitoring MOUs and ILPs, troubleshooting graduation requirements and creating internal processes to support policies.
  • Conducting internal campus process and compliance audits (i.e. enrollment, transcripts) from planning to completion, including the documentation of results and resolution plans.         
  • Overseeing the textbook inventory system. 
  • Assisting in the compilation of data reports, materials for site-visits, a shared web-based policy and procedure resource, compliance tracking, and standardized operating procedures. 
  • Distributing relevant communication by the DC Public Charter School Board and the Office of the State Superintendent of Education to appropriate internal personnel.
  • Conducting training and technical support to schools related to assigned areas, best practices, and compliance. 
  • Identifying and initiating policy and process needs of the system.
  • Establishing and maintaining effective working relationships within the Chavez community, helping to foster a strong support structure for campuses from the home office and cross-campus collaboration.
Core Requisites:
  • Ability to prioritize multiple projects in a fast-paced, dynamic work environment while maintaining a strong attention to detail
  • Excellent organizational, time-management, follow-up and prioritization skills
  • A high sense of urgency to drive assignments to completion as efficiently and effectively as possible 
  • Ability to clearly communicate ideas and processes in writing and/or visually using Microsoft Word and PowerPoint
  • Database and data management capabilities, including the ability to generate tables, filtered spreadsheets, and basic calculations (i.e. averages, counts) in Excel 
  • Strong interpersonal skills, a team player and self-starter  
  • Able to identify and resolve problems resourcefully, with discretion, and in adherence with policy and regulations
  • A Bachelor's Degree and a minimum of two years of experience in compliance, operations, project management, or related field
  • Prior school experience preferred
  • Bilingual in English/Spanish a plus

Job Description: Academic Operations Coordinator. The Academic Operations Coordinator (AOC) will effectively manage complex operational matters related to the network's academic function.  The AOC will manage competing priorities to meet ever-changing demands.  S/he will oversee and maintain highly confidential information.  S/he will serve as a liaison between the Chief Academic Officer and other constituencies, both internal and external.

The Academic Operations Coordinator will achieve actionable results by collaborating with employees of varying levels and job functions, thus requiring strong and sustainable relationships.

 

Primary Accountabilities:

• Project oversight. Acts on the authority of the Chief Academic Officer to oversee strategic projects with primary focus on academic programming; initiates, prioritizes, executes and monitors projects
• Serves as thought partner to the CAO relative to program analysis and decision-making
• Identifies internal and external areas of opportunity for the academic program

• Supports and monitors the academic programming of the Strategic Plan

• Ensures the continuity of academic programming by filling in gaps as needed
• Operates a reporting system and dashboard
• Oversees a central data repository for capturing, cataloging, analyzing and disseminating key information and resources

·   On behalf of CAO, serves as first point of contact for external inquiries

·   Manages network-level vendor relationships relative to academic-based products and services
Requisite Skills

• Demonstrated success overseeing high stakes projects
• Impeccable organization, time management and multi-tasking
• Emotional Intelligence  
• Demonstrated success analyzing/trending data; extracting/interpreting substantive points for relevant stakeholders

Core Requirements

·   Bachelor's Degree

·   2+ years' relevant experience as a school or school network decision-maker

·   Understanding of and commitment to servant leadership
