[YEP-DC] Hiring: Temporary Senior Staff Positions (Program, Education and Operations Coordinators)

Temporary Senior Staff Positions (Program, Education and Operations Coordinators)


Program Coordinator  

The Program Coordinator is directly responsible for the final planning and implementation of programs. The Program Coordinator will oversee the daily management of the program field office and Office Coordinator. Program Coordinators will work with the Education Coordinator and Operations Coordinator to ensure the efficient and effective implementation of program academic and logistical components respectively. Program Coordinators report directly to assigned Program/Senior Manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES
•Monitor scholar safety and accountability at all times during conference
•Responsible for ensuring Envision business and academic objectives are met onsite
•Ensure all program policies and procedures are implemented
•Assist with hiring and training of seasonal staff as requested/required
•Supervise and coach Office Coordinator
•Administrative duties including, but not limited to, management of program paperwork 
•Foster and maintain positive and effective relationships with all program vendors
•Communicate and maintain program needs (e.g. rooming, facilities, meals, transportation, excursions) with vendors
•Adhere to contractual obligations and deadlines with program vendors
•Liaise with guest speakers 
•Adhere to financial policies and track program expenditures reporting any issues to Program Manager
•Compile and submit program payroll
•Follow accounting procedures for petty cash expenses
•Work with Education Coordinator and Operations Coordinator to manage and resolve scholar issues
•Participate in daily meetings with senior leadership team to ensure the success of the program
•Maintain emergency telephone number and 24 hour availability at all times during program session and as outlined by Program/Senior Manager

BACKGROUND/REQUIREMENTS
•Bachelor of Arts or Bachelor of Science degree
•Must be at least 21 years of age (as mandated by rental car agreement)
•Demonstrated experience in project management requiring attention to detail
•Prior managerial, event planning or experiential education (preferred)
•Strong written and verbal communication skills
•Ability to effectively, and positively, communicate and interact with students, parents, staff and vendors
•High energy level, flexibility and the ability to work extended days and hours
•Completion of training program prior to working first session
•Ability to reside at program site during designated sessions
•Pass a mandatory criminal background check
•Visa eligible to work in the United States
•Hold a valid U.S. driver's license with a good driving background 



Education Coordinator

The Education Coordinator is responsible for oversight of all academic elements of the program ensuring that the program delivers the best possible experience for students and staff. This includes direct and indirect facilitation of the designed curricula, adapting to any scheduling conflicts, actively coaching and supervising academic staff and resolving challenges as they arise.  The Education Coordinator ensures that the objectives and quality of the program remains true to the Envision academic vision. Education Coordinators report directly to the Program/Senior Manager. 

PRINCIPAL DUTIES AND RESPONSIBILITIES
•Monitor scholar safety and accountability at all times during conference
•Ensure all program policies and procedures are implemented
•Supervise bus boarding, nightly room check and staff posting 
•Responsible for direct execution of academic objectives of program ensuring high quality experience
•Demonstrate leadership that aligns and improves the experience of scholars attending the program
•Train, coach and manage Faculty Advisors to enhance morale and team cohesion and ensure enriching experience for all scholars
•Observe, evaluate and provide feedback to Faculty Advisors
•Hold daily meetings with Faculty Advisors 
•Work with Program Coordinator and Operations Coordinator to manage and resolve scholar issues
•Participate in daily meetings with senior leadership team to ensure the success of the program
•Follow accounting procedures for petty cash expenses
•Assist with training of seasonal staff as requested/required
•Maintain emergency telephone number and 24 hour availability at all times during program session and as outlined by Program/Senior Manager

BACKGROUND/REQUIREMENTS
•Bachelor of Arts or Bachelor of Science degree
•Must be at least 21 years of age (as mandated by rental car agreement)
•Graduate degree and/or professional experience in a directly related field (preferred)
•Minimum of one year managerial experience 
•Prior teaching or facilitation experience
•Experience and/or interest in working with students
•Ability to effectively, and positively, communicate and interact with students, parents, staff and vendors
•Background knowledge and/or related course work program topic (preferred)
•Strong communication skills
•High energy level, flexibility and the ability to work extended days and hours
•Ability to reside at program site during designated sessions
•Completion of training program prior to working first session
•Pass a mandatory criminal background check
•Visa eligible to work in the United States
•Hold a valid U.S. driver's license with good driving record 




Operations Coordinator

The Operations Coordinator is responsible for oversight of all logistical aspects of the program. This includes but is not limited to: all issues relating to facilities and logistics, vendor relations (conference services, housing, catering, transportation , printing, shipping, etc.), student and staff safety, security, accountability and discipline and resolving challenges as they arise. While not directly involved with facilitation of academic materials, the Operations Coordinator is tasked with ensuring program quality by collaborating with and supporting the academic staff through proactive planning, preparation, and flawless execution of venue logistics. 

PRINCIPAL DUTIES AND RESPONSIBILITIES
•Monitor scholar safety and accountability at all times during conference
•Ensure all program policies and procedures are implemented
•Responsible for direct execution of logistical elements of program, including the confirmation of meals, housing, facilities, A/V needs, transportation and program events
•Act as direct point of contact onsite with vendors, including banquets, facilities, A/V, buses
•Coach and manage Operations Team 
•Hold daily meetings with Operations Team 
•Ensure appropriate implementation of special needs requests
•Follow accounting procedures for petty cash expenses
•Assist with training of seasonal staff as requested/required
•Communicate program progress via daily phone communications with the Program Manager and submission of daily online program updates
•Work with Education Coordinator and Program Coordinator to manage and resolve scholar issues
•Participate in daily meetings with senior leadership team to ensure the success of the program
•Maintain emergency telephone number and 24 hour availability at all times during program session and as outlined by Program/Senior Manager

BACKGROUND/REQUIREMENTS
•Bachelor of Arts or Bachelor of Science degree
•Must be at least 21 years of age (as mandated by rental car agreement)
•Previous managerial experience 
•Demonstrated experience in project management requiring attention to detail
•Prior logistical or operations work experience 
•Experience and/or interest in working with students
•Strong computer skills including Excel
•Ability to effectively, and positively, communicate and interact with students, parents, staff and vendors
•Organized and highly efficient time and task management
•Detail oriented and highly responsible 
•High energy level, flexibility and the ability to work extended days and hours
•Ability to reside at program site during designated program sessions
•Completion of training program prior to working first session
•Pass a mandatory criminal background check
•Visa eligible to work in the United States
•Hold a valid U.S. driver's license with good driving record 

REMUNERATION 
•Housing and meals while programs are in session
•Stipend for each session worked
•Stipends for travel between program sessions (where appropriate)
•Stipends to defray living costs between program sessions (where appropriate)

DATES: Dates vary based on program assignments (April-August)
