Events Manager

The Events Manager position is a newly created role at Common Core made necessary by the organization's rapid growth, specifically in its teacher professional development offerings and tradeshow attendance. The Events Manager should have a love for planning events of all types, have outstanding customer service skills both internally and externally, be an enthusiastic professional, be extremely flexible, and be a highly capable problem solver. 

The person who holds this position will work closely with managers from across Common Core's program areas, develop and implement event protocols, manage the administration and the logistics of numerous professional development and other high profile in-person (both in DC and around the nation) and web-based events per year, and coordinate all activities associated with Common Core events.  This is a unique opportunity for the right person to build an events team for the organization.

This position is based in the Common Core main office located in Washington, DC and reports to the Director of Program Operations and Support.  The Event Manager's specific responsibilities include, but are not limited to:

Event Administration:

  • Prepare budgets, approve vendor invoices, track event expenses, and provide periodic progress reports for each event project
  • Book, negotiate and revise contracts for event space (including, but not limited to, arranging food and beverage, ordering supplies and audiovisual equipment, setting up blocks of rooms at a group rate, etc.)
  • Develop and implement an events protocol process
  • Perform continuous evaluation of each event to improve future ones
  • Maintain a master events calendar
  • Collaborate with appropriate staff on all website related content and collateral needs for events
  • Ensure that Salesforce (CRM tool) is used to capture all event-related data and necessary communication to customers.
  • Develop and manage event registration processes

Event Planning and Production:

  • Collaborate with relevant program staff to understand vision for each event and develop necessary work flow to bring the events to life
  • Conduct site research, create and revise room layouts, and perform advance work
  • Oversee contracted travel agent and handle all travel-related needs
  • Order and ship all necessary event materials
  • Coordinate and prepare all event-related collateral materials including but not limited to nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Manage pre-event and on-site registration, customer service, production, and close out for events as appropriate

In addition, this individual will possess the following "must have" attributes:

  • Excellent communication skills, including writing, proof reading skills, and speaking
  • Detail oriented to the smallest degree, but able to also see big picture
  • Thrive in deadline-driven environment and manage multiple projects from a variety of staff
  • Self-motivated with excellent problem-solving and analytical skills
  • Personable with ability to maintain sense of humor under pressure
  • Fantastic customer service ethics and high expectations for quality
  • High degree of professionalism

Qualifications and Requirements:

  • Bachelor's degree
  • Five to seven years of experience coordinating events
  • At least two years' experience coordinating large scale, and specifically trade show, events
  • Proficient skills in using Microsoft Office Suite, Salesforce, Constant Contact or other mass email communication tools
  • Demonstrated experience in implementing and/or managing an events management system

Details:

  • Full-time, Exempt
  • Excellent benefits package
  • New offices in the up and coming Navy Yard/Nationals Stadium area of Washington DC
  • $55-65K based on experience
