[YEP-DC] Job Opening at DC Prep: Campus Operations Manager

DC Prep is looking for highly dedicated and talented Operations Managers for the 2015-16 school year.

DC Prep students spend approximately 25% more time in school than other DC public school students. Elementary campus students attend school from 8:00 AM – 4:00 PM with optional after-care until 6:00 PM. At the middle campus, all 4th graders, new 5th graders, and students receiving tutoring or participating in Homework Center attend school from 8:00 AM – 5:00 PM. All other middle school students are in school from 8:00 AM – 4:00 PM. Teachers are on call every evening until 8:00 PM to assist students with homework questions and challenges.

 

Overview

DC Prep's Operations Manager is a key member of the school's leadership team, working closely with the School Principal to ensure that the school is a great success.  Specifically, the Operations Manager will have five primary functions: overseeing daily operational activities; overseeing business administration; providing general administrative oversight and support for the school; supporting student recruitment and enrollment processes; and assisting with academic intervention initiatives. The Operations Manager reports to the Chief Operating Officer in the Home Office, with a dotted line reporting relationship with the campus Principal.

 

RESPONSIBILITIES OVERVIEW


Overseeing Daily Operational Activities

Assist the Principal, other staff and faculty in making sure that the school runs smoothly. 

·       Serve as the main point of contact to the school food service company, ensuring that food arrives on time and in proper quantities and condition; troubleshooting problems as they arise

·       Coordinate with the custodial service and maintenance staff to ensure that the school is appropriately cleaned and troubleshoot any problems;

·       Supervise any custodial or food service staff who are on the school's payroll;

·       Coordinate with appropriate staff or faculty to make sure that meals are appropriately tracked;

·       Aggregate monthly meal counts and submit them to state office for reimbursement;

·       Oversee building maintenance and coordinate with vendors on repairs, deliveries and installations;

·       Make sure that all communications systems (telephone, fax, technology) are working correctly;

·       Monitor the school's technology functioning and maintenance.


Overseeing Business Administration

Ensure that business operations function smoothly, and activities are undertaken in an efficient and cost-effective fashion. 

·       Researching vendors to fulfill various school needs;

·       Setting up accounts, overseeing purchase orders and making purchases;

·       Receiving supplies and tracking shipments;

·       Monitoring inventories for all common school supplies and uniforms (if applicable);

·       Coordinating benefits for employees;

·       Coordinating relevant paperwork for new hires;

·       Tracking attendance, submitting reports and overseeing collections for Child Development Center funding (if applicable);

·       Tracking meals counts, submitting reports and overseeing collections for federal food program funding;

·       Acting as the school-level contact with DC Prep's outsourced accounting vendor;

·       Maintaining the fixed asset database and furniture labeling for DC Prep.

 

General Administrative Oversight and Support

·       Interacting with parents and students who need assistance;

·       Assisting with photocopying, school mailings, and phone coverage as needed;

·       Fulfilling student monitoring duties such as required;

·       Assist Principal in monitoring school attendance and punctuality, and any other way to improve educational operations;

·       Any other projects as requested by the Principal or Chief Operating Officer as needed.

 

Supporting Student Enrollment Processes

·       Track and monitor school enrollment information and work with Front Desk staff to ensure that all enrollment paperwork is accurate and on file for all enrolled students.

·       Coordinate with Home Office staff to ensure that all enrollment documents meet state and federal compliance guidelines and requirements.

Assisting with Academic Intervention

·       Provide data, logistical and/or student support of individualized student achievement efforts throughout the school year in collaboration with the Principal or other members of the school leadership team.

 

SKILLS AND CHARACTERISTICS

·       Desire to work in a fast-paced, high-energy, entrepreneurial environment

·       Interest in improving K-12 public education in the District of Columbia

·       Meticulous organizational ability, in order to set priorities, organize workload, handle multiple responsibilities and meet deadlines

·       Ability to work independently on professional assignments using judgment and creativity in solving problems while seeking and providing strategy, advice, counsel, and recommendations on possible solutions

·       Emotional constancy and extraordinary interpersonal skills

·       Excellent verbal and written communication skills, a positive attitude, a strong work ethic, and superior ability to work in a team environment

·       Excellent computer skills, including fluency with Microsoft Word, Excel, and PowerPoint

·       Experience with systems-building and analytical thinking

·       Willingness to learn new things and eagerness to acquire new skills

·       Grittiness and a sense of humor.

 

EDUCATIONAL BACKGROUND AND WORK EXPERIENCE

·       Bachelor's degree from an accredited institution

·       Minimum of 2 years related work experience, including consulting, management, business, operations, military, school district, charter or other nonprofit experience
