Operations Manager and Assistant to the Executive Director


CityBridge Foundation strives to help build a high-performing system of excellent public schools in Washington, D.C.  Operating like a small venture philanthropy firm, CityBridge conducts best practices research to identify what is working in education reform—across the country and locally—and then invests in bringing those ideas to scale in D.C.

 

POSITION OVERVIEW

The Operations Manager and Assistant to the Executive Director provides strategic operational leadership and support, ensuring that CityBridge has systems in place to function at the highest level. Working in close partnership with the Executive Director and Chief Operating Officer, this person oversees all office operations, creates critical systems and processes, and supports the ED in prioritizing her time appropriately.  This person should embody entrepreneurship and initiative, always looking for ways to make us more efficient and effective.

 

RESPONSIBILITIES

 

Office Management and Operations

-          Oversee all CityBridge office operations with an eye toward ensuring our physical space is productive, inspiring, and reinforces a strong team culture. This includes, but is not limited to;

o   Fostering and maintaining a clean, organized and comfortable office space, including conference rooms, kitchen, and gathering areas

o   Reviewing operating practices, recommending and implementing improvements where necessary

o   Managing supplies and corresponding budget 

o   Ensuring maintenance of office equipment and contracts

-          Serve as our primary liaison with building management, the IT team, mailroom, and outside vendors

-          Manage relationships  and details with outside organizations who host events at the CityBridge offices

-          Organize and manage the onboarding of all new CityBridge staff members

-          Manage grantee relationships and expenditures including regular payments, communication, submitting check requests, sending checks to grantees, and meticulously tracking ongoing documentation

-          Plan and lead Foundation-wide staff events such as staff meetings, summer outings, birthday celebrations, team retreats, and the holiday party

-          As we are a small "all-hands-on-deck" team, step up to support other staff members' with projects and events on an as needed basis

 

Executive Assistant

-          With exceptional attention to detail, strategically manage the Executive Director's time against organizational priorities. This includes, but is not limited to;

o   Calendar management

o   System creation, implementation and ongoing management

o   Travel arrangements

o   Expense reporting

-          Liaise with other members of the CityBridge team on behalf of the Executive Director

-          Prepare Executive Director for all external meetings including context/background information, materials, logistics and follow up

-          Manage special projects as necessary

Program Manager, Stewardship and Engagement

POSITION OVERVIEW

In order to ensure that the most promising education reforms are sustained, CityBridge works to build an "army of stewards" who understand D.C. public education and support the best efforts to improve it.  To this end, the Stewardship and Engagement team provides opportunities for philanthropic and business leaders to learn about and actively engage in D.C.'s education ecosystem.  Through signature programming that includes guided school tours and education-themed book discussions, special events that convene thought leaders, education practitioners, and "stewards" around important topics and speakers, and high-touch relationships, the Stewardship team strives to be a resource and advisor to the philanthropic community.

 

The Program Manager works directly with the Director, Stewardship and Engagement—and also across CityBridge's Research and Education Innovation teams—to create these high-quality, content-driven experiences.  The Program Manager also interacts directly with business, philanthropic, city, and education leaders.

 

RESPONSIBILITIES

·         Help design a calendar of high-touch, compelling events/engagement activities aligned with the Foundation's mission and priorities.

·         Project-manage all aspects of these events, including content development, outreach and communication to the philanthropic community, liaising to school/nonprofit partners, logistics, staffing, and execution.

·         Identify and conduct prospect research on new potential stewards, managing up to Director of Stewardship and Engagement, Executive Director, and President re: relationship cultivation.

·         Develop relationships with a portfolio of stewards, serving as an ongoing resource and advisor who provides engagement opportunities that marry their interests with CityBridge's priorities and the city's education needs.

·         Develop relationships with CityBridge partners and grantees in order to deeply understand their work and their needs.

·         Represent CityBridge in the education, funding, and D.C. communities.

 

QUALIFICATIONS

·         Bachelor's degree or higher

·         4-6 years event planning / project management experience

·         Experience in the field of education strongly preferred

·         Exceptional project and time management skills; acute attention to detail; ability to juggle multiple projects at once

·         Excellent verbal and written communication skills

·         Talent in cultivating relationships with business and philanthropic leaders

·         Flexibility; comfort with ambiguity, entrepreneurship, and a fast-paced, frequently changing environment

·         Ability to manage up and laterally

·         Prodigious work ethic and spirit of generosity

·         An unyielding belief in the potential for all children to learn, regardless of socioeconomic status, race, or neighborhood
