Job Title: Administrative Assistant

Purpose
The Administrative Assistant provides general and specialized administrative support by prioritizing tasks, effectively planning time, anticipating needs, and operating with a sense of urgency. Acts as an internal and external communication liaison. Coordinates administrative support functions of the Washington DC office including facility and general services. Provide logistical support for Lumina’s convenings in the DC area. Support the Foundation’s work in the areas of federal policy and student financial support.
Responsibilities
General Administrative and Specialized Support (50% of expected workload)
Manage calendar and workflow for assigned area. Schedule and organize activities such as internal and external meetings, travel arrangements, conferences, and other departmental activities. Appropriately disseminate incoming communications and prioritizes as critical or non-critical. Prepare and submit expenses reports and check requests. May compose general correspondence, memos, meeting minutes and prepare presentations as needed. Proofread copy for spelling, grammar, and layout and makes appropriate changes. Maintain electronic and paper files in an efficient and easily-accessible manner and utilizing technology platforms (i.e., Sharepoint) in accordance with the Foundation’s document retention policy. Assist in preparing and tracking the departmental budget and verify invoices to be paid as requested. Represent the department in a professional and collegial manner. Provide administrative support to internal committees, teams and workgroups.
Facility Services (20% of expected workload)
Manage specific vendor contracts and relationships related to various facility services and agreements. Coordinate maintenance, repair and refurbishing of facility and furnishings. Maintain facility services procedures manual. Work with information technology staff to handle related issues in the DC office.
Event Logistics (15% of expected workload)
For local meetings, will work with other assistants to provide logistical support such as catering and room preparation. Attend and oversee logistics for larger DC based convenings. Convenings duties: Prepare day-of-meeting materials including, but not limited to, meeting packets, name tags, hand-outs. Set up in-house convening space in advance of meetings as determined in pre-planning. Assist with on-site day of activities to ensure a successful environment for the convening. During these meetings oversee the staff of hotel to ensure that the hotel is performing their duties as specified. Ensure that the needs of meeting attendees are met as well as the needs of Foundation staff.
Policy Support (15% of expected workload)
Support the policy team to help advance federal policy for increased attainment and create new models of student financial support. Assist with research, due diligence, and the collection and maintenance of data for effective collaboration using databases such as Salesforce. Assist with grant deliverable tracking.
Other
May be designated owner for specific organizational process (i.e., contract tracking, subscription and membership tracking) with responsibility for establishing, maintaining and troubleshooting workflow and sharing process information. Understand and comply with the Foundation’s policies and processes. Responsible and accountable to the success and effectiveness of assigned projects and teams.
Education and Experience
Associate’s degree or demonstrated competency in business, education or other related content area.
2-3 years’ experience in an administrative support role. Possible interest or knowledge of higher education systems, issues related to federal policy and student financial support.
Qualifications
• Strong Microsoft Office skills.
• Strong knowledge of database systems.
• Strong interpersonal and customer relations skills for interaction among staff, grantees, vendors and contractors, displaying a high degree of diplomacy, tact and professionalism, including excellent phone etiquette.

• Strong organizational skills
• Attention to detail.
• Strong ability to multi-task, set priorities, triage work and meet deadlines.
• Ability to maintain confidentiality and handle sensitive information.
• Ability to apply sound situational decision making.
