Job Summary
The Executive Team Coordinator will provide critical planning, executing, and administrative support to PCSB's Executive Director and other members of the Executive Team. Primary work streams will include, but are not limited to, calendar management, travel and reimbursements, internal and external communication, and board meeting communication and support. The Coordinator will serve as the primary point of contact for the Executive Team and PCSB's seven-member Board, as well as support and coordinate between executive departments to fulfill the strategic goals of PCSB. This role reports to the Director, Human Capital and Strategic Initiatives.
Responsibilities include but are not limited to:
· Providing administrative and logistical support for Executive Team members and Board members including: scheduling and preparing for meetings and conference calls, arranging/planning travel, site visits, school and community events, processing professional development, drafting, revising, sending out and managing correspondence, data entry, and processing expense reports, professional memberships and subscriptions renewals for Executive Team members and Board members.
· Managing calendars, phone/voicemail, correspondence (email and mail) and schedules for the Executive Director and Director of Communications, meeting weekly to establish appointment priorities; supporting other leaders of the Executive Team as necessary.
· Preparing and coordinating Board-to-Board meetings, and recurring meetings such as Committee of the Whole, Board Media Call and PCSB Board meetings. Serve as backup administrator for monthly Board Book.
- Creating documents and binders each month for the recurring Board Media Call; recording the actions taken at each board meeting for the PCSB annual report.
- Processing RFP advertisements, public hearing notices and Board policies opened for public comment to the DC Register and local newspapers as required.
· Scheduling interviews and preparing documents for Executive team members for employee recruitment and selection; managing the organization calendar and activities including staff meetings, celebrations, and retreats, including making arrangements, tracking staff professional development.
· Actively supporting and/or facilitating Executive Team projects as necessary, including preparing materials, agendas, and minutes for meetings involving Executive Team members and organizing larger meetings.

Ability to work independently and with others with a spirit of flexibility;
· Familiarity with managing confidential information and ability to exercise discretion required;
· Sense of humor and ability to handle pressure.
Education and Experience
· Bachelor's degree is required
· At least three years of previous work experience preferred
· High proficiency in Microsoft Office applications (Word, Excel and PowerPoint); Proficiency with web-based tools (Google suite, Doodle, LiveBinder), demonstrated ability to learn new software

Salary for this position is competitive and commensurate with experience prior experience. In addition, a comprehensive benefits package is included.
