We are seeking a Program Assistant to provide critical support in ensuring the Deputy Director and the School Performance Department meets departmental priorities and goals. The Program Assistant will be responsible for creating an efficient and detail-oriented, customer-service environment for school leaders and other stakeholders by scheduling and supporting internal and external school performance department meetings, events, and projects. Responsibilities will include administrative support, scheduling, logistics, and communications.
The ideal candidate will have strong organizational skills, be able to thrive in a dynamic fast-paced environment, meet competing deadlines, and have a calm, professional demeanor at all times. This is a fantastic opportunity to learn about the infrastructure of a high-impact organization and charter school authorizing. This position reports directly to the Deputy Director.
Responsibilities include but are not limited to:
· Compiling, editing, and composing error-free communications to school leaders, government personnel, and other stakeholders via email, memos, multi-page reports, PowerPoint presentations, and Excel files;
· Working closely with the deputy director to manage the day-to-day operations of the School Performance Department (SPD), including keeping track of project deliverables and deadlines;
· Supporting inter- and intra-department communications by creating clear agendas, taking detailed minutes, e-filing documents, and disseminating and monitoring next steps for SPD staff and managers meetings;
· Positioning the deputy director for success in all engagements, including: scheduling meetings, conference calls, booking travel, managing meeting preparation documents, and processing expense reports and reimbursement
· Managing the School Performance Department calendars by scheduling internal and external meetings;
· Conducting logistics for in-person, webinar, and teleconference meetings, trainings, and events;
· Answering telephone and inquiries for the school performance department and the deputy director.
Qualifications
· Highly organized with exceptional attention to detail;
· Excellent writing and editing skills with the ability to write for multiple audiences and purposes;
· Ability to think creatively and strategically, strong problem-solver with excellent judgment;
· Ability to anticipate needs and take action proactively;
· Exceptional work ethic and customer service orientation;
· Strong time management skills with the ability to multi-task and work under competing deadlines;
· Ability to work independently and with others with a spirit of flexibility;
· Strong communication skills;
· Sense of humor and ability to handle pressure;
· Expert MS Word, Excel, Outlook, and PowerPoint user;
· Experience using Google Docs;
· Experience with many forms of file-sharing techniques and/or the ability to learn;
· Bachelor's degree required.
Compensation
Salary for this position is competitive and commensurate with experience prior experience. In addition, a comprehensive benefits package is included.
