[YEP-DC] Job Posting: Office Coordinator at Flamboyan Foundation

Position Summary

 

Flamboyan Foundation is seeking a driven and talented Office Coordinator.  As a core member of the Flamboyan team, the Office Coordinator will ensure that the office's reception desk and daily operations run smoothly. The ideal candidate will be a dependable, detail-oriented, critical thinker, with excellent time management and prioritization skills and a positive, 'can-do' attitude.

 

Currently in our fifth year of operation in D.C., Flamboyan Foundation partners with over 30 local public and charter schools - with a vision to double our reach in the next five years - to build the capacity of school leaders and teachers to effectively engage families as partners in their children's success. We are looking for a mission-driven team member to help us achieve this vision by coordinating our reception and operations needs. Responsibilities

 

The primary responsibility of the Office Coordinator is to represent Flamboyan as the first point-of-contact for callers and visitors, and maintain a tidy and welcoming office environment. The Office Coordinator will also add administrative capacity to the President's Office. Specific responsibilities include, but are not limited to:

 

Management of reception area/conference spaces:

·         Receives and directs incoming phone calls

·         Greets and directs visitors and vendors

·         Assists Office Manager with management of building security, keeping main entrance locked and screening visitors through video intercom system

·         Supervises use of private parking lot

·         Distributes incoming mail and shipments; manages coordination and pickup of outgoing shipments

·         Monitors and directs incoming messages from general email inbox and fax line

·         Manages incoming conference room requests and posts daily schedules

·         Updates and distributes office phone directory

·         Coordinates taxis for staff to/from local external meeting sites

·         Coordinates front desk coverage needs during breaks/errands

 

Coordinate office needs:

·         Orders pantry and office supplies as needed

·         Makes twice-daily rounds of the office to ensure all storage, kitchen, restroom and copy areas are appropriately stocked

·         Ensures office is kept tidy and organized throughout the day, particularly reception area and conference rooms

·         Runs office errands as needed  (i.e., post office, groceries, lunches)

·         Manages staff reservation of shared equipment (staff laptop, projector, etc.)

·         Coordinates meeting set-up for staff and partners (catering, A/V, supplies, etc.)

·         Monitors office equipment and coordinates mechanical/tech service as needed (copier/scanner, conference room A/V systems, door intercom system, wireless internet, etc.)

 

Add capacity to President's Office: 

·         Administrative/accounting support

o    Provides administrative support for Chief Operating Officer and Chief Communications Officer: scheduling, accounting support, etc.

o    Provides overflow support for Special Assistant to the President: shipping needs, vendor management, lunch pick-up, Board filing

o    Reconciles monthly company credit card statements

o    Tracks supply/equipment usage and costs for budgeting purposes

o    Updates office reference document as office policies and systems evolve

·         Communications/marketing support:

o    Compiles and distributes daily education news highlights

o    Compiles monthly internal staff newsletter content

o    Coordinates online recruitment efforts

·         Provides support for special events; may require late hours on occasion

·         Other duties as assigned

 

 

Education and Experience

·         Bachelor's degree, administrative experience preferred

·         Proficient in the use of Microsoft Word, PowerPoint, Excel, and Outlook

·         Excellent written and oral communication skills

·         Strong attention to detail and ability to produce error-free work

·         Exhibits strong verbal and written communication skills

·         Highly-organized

·         Demonstrates ability to manage multiple delegated tasks and consistently meet deadlines

·         Demonstrates ability to take initiative, work independently, and adjust priorities as needed

·         Demonstrates ability to manage multi-step projects, anticipate obstacles and communicate status as needed

·         Tech savvy, with a strong command of Microsoft Word, PowerPoint, Excel, and Outlook

·         Ability to lift up to 30 lbs. (may need to carry supplies up or down office stairs)


Compensation

 

Salary is based upon experience and includes a complete benefits package.
