Description
The duties of this position are many and varied; they require an individual who can prioritize multiple tasks, work in a fast paced environment, and still keep a smile on his/her face. The Operations Manager reports to the Chief of Operations and Policy.
One of the key responsibilities for the Kansas Campus Operations Manager is the supervision of the Early Childhood and High School front office staff and is a critical position to the operation of the school. Through the supervision of the front office staff, he or she is responsible for implementing the school's operational policies. As part of this responsibility, the Kansas Campus Operations Manager will work with the other operations teams (student data and facilities), as well as the instructional personnel to develop and/or implement our school's policies and procedures around student records, attendance, emergency planning, technology support, building support, and financial processing.
Because the front office teams are the first point of contact for parents and the primary support for teachers and principals, the Kansas Campus Operations Manager must be able to manage and develop a customer service team. This individual will also develop and implement project plans for certain special projects throughout the year (e.g. enrollment processing).
The following is a general list of responsibilities of the position—additional duties may be assigned.
Management
· Oversee Office Managers and Receptionists.
· Ensure front office systems are well designed and run smoothly, e.g. attendance procedures, enrollment documentation, student file maintenance, etc.
· Lead regular front office meetings to discuss upcoming projects and events.
· Lead regular individual meetings with front office staff to discuss progress and areas of improvement.
Student, Staff, and Parent Communications
· Prepare accurate written communications, including letters, newsletters, and notices.
· Train and support front office staff to communicate critical information effectively to parents.
· Train and support front office staff to collect student documents such as health, dental, and enrollment forms.
· Address parent concerns.
· Perform administrative duties for the Principals, Assistant Principals, Head of School and other staff as required.
· Help maintain a supportive, learning environment for students and teachers.
Policies and Procedures
· Work with other operations teams to develop clear, practical, and effective operational policies.
· Implement operational policies and procedures for mission-critical functions such as attendance collection, student record keeping, emergency planning, technology support, building support, and financial processing.
Ordering and Accounts Receivable
· Oversee ordering of supplies and organization of American Express bill.
· Secure daily cash and check deposits.
· Create the weekly deposit report and take the weekly deposit to the bank.
Technology
· Prioritize technology requests for IT Specialist.
· Repair and replace at skill level when necessary.
Qualifications
- Bachelors Degree required.
- Masters of Business Administration, Public Policy, or similar degree preferred.
- 5 years or more of professional experience.
- 2 years or more of managerial experience.
- 2 years or more of customer service experience.
- Knowledge of the K-12 education field.
- Expertise with Microsoft Office and Google documents.
- Excellent interpersonal skills.
- Demonstrated ability to prioritize in a fast-paced environment.
